This Privacy Policy describes how Smarter Business Solutions collects, uses, and discloses information, and what choices you have concerning the information.
When we refer to “Us”, “We”, “Smarter Business”, or “Smarter Business Solutions”, we mean the Smarter Business Solutions GmbH entity that acts as the controller or processor of your information.
Please read the following Privacy Policy to understand how we collect, use and safeguard the personal data you (or the entity with which you are associated) may provide to us via our apps and add-ins. This Privacy Policy may be revised from time to time, so please revisit this page often to remain fully informed of our policies.
1 Applicability of this Privacy Policy
This Privacy Policy applies to Smarter Business’ online collaboration applications and add-ins on Microsoft Teams and Microsoft SharePoint (referred to as “Services”), www.smarterbusiness.at and other Smarter Business websites (“Websites”) and other interactions (such as customer service inquiries, customer meetings, etc.) you may have with Smarter Business. By accepting this Privacy Policy, you provide consent to the collection and use of all information as outlined in this Privacy Policy. You have the right to revoke consent at any time by notifying Smarter Business Solutions. If you do not agree with the terms, do not access or use the Services, Websites, or any other aspect of Smarter Business.
2 Information we collect and receive
We collect data to operate effectively and provide you the best experience by recording how you interact with our products. For example, by receiving error reports or when you contact us directly. We do not obtain data from any third parties. We will never collect any documents, pictures, or messages from your organization in our Services.
In the following sections, you will find an overview of the data that is collected by our Services.
2.1 Information collected by the TagTeam app (Microsoft Teams app)
This section describes what information is collected by the TagTeam Microsoft Teams application.
TagTeam is an application that allows you to tag channel posts with custom tags and view/filter the tagged posts in an additional channel tab. You can create, change and delete tags. When creating the tags, a name and a color can be selected for categorization. You can tag posts in two ways:
- Using the message extension TagTeam and choosing a tag.
- Using the TagTeam bot by mentioning @TagTeam in your post and choosing a tag.
To provide you with the best experience possible, we collect and store data such as the team ID, the channel ID, and the created tag names/color ID. This information is required for the TagTeam application to work. Furthermore, we collect the domain name and the email address of the tag creator. This data is used only to communicate with you about our service and will not be shared with third parties.
2.2 Information collected by the Smarter Event Booking app (Microsoft SPFx web part)
This section describes what information is collected by the Smarter Event Booking app.
Smarter Event Booking is an SPFx web part that allows you to create and register for events with any number of attendees.
We do not collect and store any of your data related to the events or their attendees.
We collect and store the Tenant ID to provide you with the best possible experience. This data is used only for licensing with you through our service and is not shared with third parties.
2.3 Information collected by the Smarter Advent Calendar app (Microsoft SPFx web part)
This section describes what information is collected by the Smarter Advent Calendar app.
Smarter Advent Calendar is an SPFx web part that allows you to give gifts to your employees through an online advent calendar.
We do not collect or store any of your data related to participants, winners, or advent calendar content.
We collect and store the Tenant ID to provide you with the best possible experience. This data is used only for licensing with you through our service and is not shared with third parties.
2.4 Information collected by the Smarter Tombola app (Microsoft SPFx web part)
This section describes what information is collected by the Smarter Tombola app.
Smarter Tombola is an SPFx web part that allows you to give gifts to your employees through an online raffle.
We do not collect or store any of your data related to participants, winners, or tickets.
We collect and store the Tenant ID to provide you with the best possible experience. This data is used only for licensing with you through our service and is not shared with third parties.
2.5 Information collected by the Smarter 3G app (Microsoft Azure web application)
This section describes what information is collected by the Smarter 3G app.
Smarter 3G is a Node.js web app hosted in an Azure web app. With this app, European companies can document and verify the compliance and implementation of the 3G rule at workplaces. Employees can autonomously manage their personal data for this purpose in a GDPR compliant manner by scanning the Green Pass, or by registering manually.
We collect and store the following personal user data to provide you with the best possible experience:
- First name and last name of employees
- E-mail address of the employees
This data is used exclusively to be able to assign the verification data provided to the respective employees. The e-mail address is also used to send the employee a request to provide verification.
We collect and store the following data on the verifications provided:
- The anonymized ID of the associated employee.
- The type of verification. As the type of verification is necessary for the lawful compliance with the 3G rule in workplaces, we store whether the evidence is a vaccination, recovery, or testing.
- The date of verification We store when the 3G verification was provided.
- The validity date of the verification. We store until when the verification is valid. Each verification provided will be stored for at least 24 (twenty-four) hours and will otherwise be valid either
- until the validity date of the verification has been reached, or
- up to 24 hours after the consent to store the verification has been withdrawn by the user concerned.
The above data will be used exclusively for the proper functioning of our Service with you and will not be disclosed to third parties.
2.6 Information collected by the Smarter Navigation app (SPFx application customizer)
This section describes what information is collected by the Smarter Navigation app.
Smarter Navigation is an SPFx application customizer that allows you to create multi-level SharePoint navigations.
We do not collect and store any of your data related to lists, libraries, folders, or files. When using Smarter Navigation, a JSON configuration file is created on the client-side that contains the navigation structure and favorites for each user. We do not have access to this data.
We collect and store the Tenant ID to provide you with the best possible experience. This data is used only for licensing with you through our service and is not shared with third parties.
2.7 Information collected by Smarter Visitor Registration (Microsoft Outlook add-in)
This section describes what information is collected by the Smarter Visitor Registration add-in.
Smarter Visitor Registration is an Outlook add-in that enables you to collect visitor data quickly, securely and effortlessly via QR codes.
We do not collect and store any of your data related to user data of guests or calendar entries.
We collect and store the Tenant ID to provide you with the best possible experience. This data is used only for licensing with you through our service and is not shared with third parties.
3 How we use Information
Smarter Business uses information in furtherance of our legitimate interests in operating our Services, Websites, and business. More specifically, we use information:
- To provide, update, maintain and protect our Services, Websites, and business. This includes the use of information to support the delivery of the Services under a Customer Agreement, prevent or address service errors, security or technical issues, analyze and monitor usage, trends, and other activities or at an authorized user’s request.
- As required by applicable law, legal process, or regulation.
- To communicate with you by responding to your requests, comments, and questions. If you contact us, we may use your information to respond.
- To send emails and other communications. We may send you service, technical, and other administrative emails, messages, and other types of communications. We may also contact you to inform you about changes in our Services, our Services offerings, and important Services-related notices, such as security and fraud notices. These communications are considered part of the Services and you may not opt-out of them. In addition, we sometimes send emails about new product features, promotional communications, or other news about Smarter Business Solutions. These are marketing messages so you can control whether you receive them.
4 How we share and disclose Information
We do not share your personal data with advertising providers or any third party companies.
5 Your rights
Opt-out: You have the right to revoke your consent for collection and use of your personal information at any time by notifying Smarter Business via email at support@smarterbusiness.at.
Control of personal data: You have control over your personal data and how we collect, use, and share the personal data that you have provided to us. You may request a copy of your personal data stored with us at any time.
Information retention: Smarter Business will retain the personal data you provide us if we need it to provide the Services you use. If you ask to delete your personal data with Smarter Business, we will initiate the deletion of this data after 30 days. Please note there may be some latency in deleting this data from our servers and storage. We may retain some data if necessary, to comply with legal obligations, resolve disputes or enforce Smarter Business Solutions GmbH agreements.
Modifications to Information: We strive to maintain the accuracy of any personal data that may be collected from you, and will use our commercially reasonable efforts to respond promptly to update our database when you tell us the data in our database is not accurate. It is your responsibility to ensure that such data is accurate, complete, and up to date. You may obtain from us the registration data in our records and/or files by email. Data will be updated as soon as reasonably practicable.
6 Security and Information protection
Our Services are scanned regularly for security holes and known vulnerabilities to make the use as safe as possible. If you suspect unauthorized access to your data, please contact us.
We do not have any commercial or non-profit advertisements in our Services. We do not include or offer third-party products or services on our Services.
